Received Ann email yesterday morning that IXWebhosting is shutting down effective 28 August. We have to move the entire eangus site/system to another server. This is not something that our developer believes will be too difficult, but it will require time and the longer we wait to start, the less time left before the 28th for testing, copying, etc. so, we need to discuss and decide on Saturday and get our developer started. This will affect every state and every thing, so we can’t afford to wait on a decision. Here are the details:

We currently spend $650-ish per month for the current Webhosting space. Our developer says he can get us into a better and faster server with a reputable company that he has other clients on, for about $450-ish per month. Further, he can do most of it, and perhaps all of it, just using the hours that we are already paying him for. But, you never know, so I recommend that the finance committee set aside some additional funds just in case in this years budget. I think $10,000 is plenty enough, and we only use it if absolutely necessary.

Lastly, while we are making this move, I recommend that we get the entire system converted away from the LANGEA.org main domain, and make EANGUS.org or something else like that to replace it. If we are ever going to make that move, now would be the time. So, sorry for the last minute news, but out of our control. I’ll have a one page proposal from Aaron on Friday for the finance committee and the EC to look over, but it’s a lot of technical stuff that Chuck Kasin won’t understand anyway......bam.

We have to make the move, regardless. We will tell the developer to make extra sure that states taking registrations on the sites are given extra attention so as to not affect their conferences.

PCI published two previous member directories, one in 2008 and one in 2016. They desire to publish a new directory for us in 2020. The process will take one year, with an estimated data collection start date of September 6, 2019 (after our conference). The 2016 directory brought $60,000 in guaranteed revenues; this directory will be based on a royalty of $10 per directory sold and has the possibility of much less revenue (estimate is $12,000). There is no financial liability to EANGUS. The project will take a year to complete with estimated completion by September 1, 2020. Data collection takes about 6 months and production takes about 6 months.

Executive Director Yoakum has combined the current EANGUS Succession Plan and the current Transition & Search SOP into one SOP (attached) since they both relate to the actions and established policies and procedures for filling the position of the Executive Director on either a short-term or permanent basis. The last editions were published in 2016 so it was time for an update. Wanted to make sure you received the proposed SOP and have a chance to review it; this will be a New Business item on the August EC Agenda. Currently, there is no First Sergeant App available for either the Army or Air (Guard), and I propose that we create one and it would bring awareness of EANGUS to arguably, the most important group of folks who have the ability to increase our membership and awareness of Professional Organizations.

Basically, this would cost EANGUS the $290 filing fee, which is minimal for what it should give us in increased membership. We could have key personnel in the First Sgt corp who help build and maintain it, just like the Associations are doing for their State Apps.

Would like to have EC feedback prior to offering the attached proclamations at the EANGUS Conference. The intent of this is to have the membership approve the proclamations (perhaps the Resolutions Committee, although I am not sure it this would be something for a resolution??? open to other ideas) and then any member that wishes to sign can do so at the conference and we can provide these documents to the House and the Senate at a time deemed appropriate by the EC/Legislative Director, ED, etc.

Reimbursement of POV Travel. When authorized to travel by POV, member is reimbursed up to the cost of the airline ticket only. It does not consider the mileage (round trip) from the members house to the airport and the parking fees while on the trip. We are not trying to make money off of EANGUS, but when we are authorized POV travel the up to price should be everything that we would incur if we did the flight i.e. Airline ticket, tolls, parking and return trip mileage to and from the Airport..

Still Serving Promotions Contract

The Ways and Means committee recommends non-renewal and termination of the EANGUS online store contract with Still Serving Promotions due to a limit on the number of items we can offer, excessive costs associated with changing items or offering new items in the store, and receiving numerous customer complaints regarding the lack of quality in the items produced by SSP. The current contract expires on 01SEP22 and notice of termination would be due NLT 01JUL22.

Awards SOP Update

The Awards Committee and the Junior Enlisted Committee are proposing a junior Enlisted Award.

JUNIOR ENLISTED AWARD

Purpose -

To provide special recognition to a junior enlisted airman and soldier E6 and below who has distinguished themselves in an outstanding and exceptional manner that contributed to the betterment of the junior enlisted ranks.

Eligibility -

Current or lifetime member in the uniformed ranks of E6 and below (ARNG or ANG).

Criteria -

a. An individual must have demonstrated exceptionally meritorious service that has directly impacted the junior enlisted in either EANGUS, their assigned Area, or their State Association.

b. A single act or accomplishment that is meritorious in nature that positively impacted the junior enlisted council at the state or national level.

Nominations and selection process -

a. Any member of EANGUS can nominate a junior enlisted member for this award by completing the appropriate application.

b. Detailed written nominations will be submitted to the EANGUS Awards Committee no later than May 15 prior to the annual conference each year by submitting the appropriate application.

c. The EANGUS Awards Committee will review all nominations with recommendations for selection to the EANGUS President.

d. There is a limit of two (2) awards to be given in any calendar year, one (1) for Air and one (1) for Army and will be presented at the National Conference.

Award- The physical award will be an image of the Minute Man (face with side profile that the JEC Chair provided) etched on a really nice glass/acrylic type trophy. I have a trophy shop in AZ that can create it. I’ll work on getting an image created by the shop and send to the JEC Chair so that we can work together on a final product.

Ace Accounting Renewal Proposal

The agreement between Ace Accounting and EANGUS expires on 31 December 2023. Ms. Williams has provided a renewal proposal for the Executive Council to review. The extended term of the Agreement shall commence on January 1, 2024 and end on December 31, 2024, with an automatic renewal for a further term of twelve (12) months and an automatic 3% (three percent) annual increase in the Support Fee, as noted in Section VIII.C. of the Agreement between EANGUS and Ace Accounting Solutions LLC.
Fees for Association Support Services: In consideration for AAS’ provision of the Association Support Services, EANGUS shall pay AAS a monthly Support Fee in the amount of $4,738 (four thousand seven hundred thirty-eight dollars).
